Seasonal File Clerk — Edmonton — Student

The File Clerk is responsible to ensure the physical registration records for 4 councils (Manitoba, Saskatchewan, Northern Lights, and Chinook) are reviewed, sorted, and moved into storage at the end of each Scouting year in preparation for the next registration cycle.  The File Clerk will report to the Prairie Operations Manager.


  • Support a movement to electronic record-keeping from paper-based record keeping within areas of responsibility.
  • Review, sort, and move into storage physical registration records that are no longer needed in the working registration files for the coming registration cycle.
  • Enter registration and screening documents that are received as hard copies into the myscouts database. Ensure that physical and electronic membership record filing systems and databases are current, accurate, and organized.
  • Other duties as assigned

What you bring to the table:

  • High school diploma.
  • Knowledge of general office administration processes.
  • Intermediate skill with Microsoft Word, Excel, Access, and Outlook
  • Must role model values of Scouts Canada and include the Child and Youth Safety program.
  • PRC (Police Record Check) and VSS (Vulnerable Sector Check) required

Working Conditions:

  • Works in an office environment.
  • Maintains regular office hours with occasional weekend or evening hours required.
  • Majority of time spent sitting and using office equipment and computers.
  • Frequently required to shift attention between tasks quickly while maintaining accuracy.
  • Frequently required to quickly respond to requests with minimal or ambiguous information.
  • Frequent need to read and manipulate text on computer screens.
  • Frequent need to read handwritten forms and notes.
  • Frequent need to lift and move boxes of files (weighing up to 52 pounds).
