Property Cancellation Policy

In support of a program that empowers youth to direct their personal progression and growth, Scouts Canada continually aims to improve accessibility to our properties for Scouting Groups across Canada to benefit from. When a Group reserves a facility/site, other Groups are excluded from using that facility/site at that time. Maintaining and operating quality properties is also associated with large financial investments. 

With these two concepts in mind, the Scouts Canada’s Property Cancellation Policy is as follows:

All booking-related requests must be submitted in writing to propertybookings@scouts.ca and must include the order/registration number
All Bookings

A 20% non-refundable deposit will be required up front to secure your booking. Bookings are not confirmed/secured until the deposit payment is received.

Some reservations with a value of $100.00 or less may require payment in full at the time of booking. (Some exceptions apply)

The 20% deposit payment is non-refundable but may be eligible to transfer to a new booking at the same property. (Some restrictions apply)

Doubleknot convenience fees are non-transferrable and non-refundable, as signed off upon through the booking process. The 3% and $2 convenience fee will be applied per item added to the cart at checkout.

Request to cancel a reservation with 4 weeks’ (28 days) or more in advance of the arrival date. If the balance has been paid in full, 80% of the total reservation paid will be refunded and the 20% non-refundable deposit can be transferred to a new booking at the same property initially booked, provided it falls within the 1 calendar year from the original booking date. The 20% deposit cannot be transferred to a pre-existing booking.
Request to transfer a reservation to a different date must be submitted within the 4 weeks' (28 days or more) advance time, in writing, to be approved Doubleknot convenience fees are non-transferrable and non-refundable, as signed off upon through the booking process.
Request to cancel a reservation with less than 4 weeks’ (27 days or less) from arrival date, but more than 2 weeks' (14 days) notice — must be requested in writing.

50% of total payment is refundable to the same credit card used at time of booking.

No shows are non-transferrable and non-refundable. Doubleknot convenience fees are non-transferrable and non-refundable, as signed off upon through the booking process.

Reservations cancelled with less than 2 weeks’ (13 days or less) from the arrival date No refunds are eligible and the 20% deposit is non-transferrable. (This applies even if the booking was made less than 2 weeks prior to arrival).
All Bookings

Balance[s] owing will be processed automatically to the credit card on file 28 days in advance of reservation arrival date.

Refund requests to accommodate an alternative payment method will not be processed. For groups choosing to remit the 20% deposit with a balance owing at the time of booking, the 3% and $2 non-refundable convenience fee will be automatically applied to payment for the balance[s] owing.

Extenuating circumstances where Scouts Canada may be required to cancel a booking Transfer 100% of payment to a new or pre-existing booking to the same property within 1 calendar year from original booking date; or;

100% of the total payment received, on an approval basis, can be refunded to the credit card used at time of booking for circumstances relating to but not limited to situations which cannot be controlled by Scouts Canada

Any changes to reservations must be submitted in writing, including the Order/Registration number, and will not be accepted by phone.

**** Scouts Canada reserves the right to cancel bookings at any time. Cancellations due to Policy violation, Code of Conduct violation/ behavioural concerns, outstanding documentation/ breach of contract are 100% non-refundable.

Required documentation for third party bookings MUST be provided 72 hours prior to the reservation arrival date/time Third party bookings are not confirmed until necessary paperwork has been submitted. ****

All cancellations or booking transfers MUST be done in writing and emailed to propertybookings@scouts.ca.

**Phone messages will not be accepted as notice of your cancellation. ** 

Scouts Canada reserves the right to cancel any booking at any time.
