With your help, we are embarking on a transformative journey to modernize our digital systems. Our Digital Transformation project is a three-year initiative that will significantly improve the experiences of our volunteers, staff, members and youth by addressing the challenges of our outdated technology.

Over the years, many of you have shared your frustrations with our current digital systems—how registration is slow, information is scattered across disconnected systems and the user experience can be cumbersome. We understand these challenges, and this transformation is our commitment to making things better for you.

Our Action Plan

The transformation will unfold over the course of three years:

Our Action Plan Year 1

Year 1: Foundations — We’ll start by working with you to gather insights into our current workflows and systems, understanding their strengths and weaknesses, and determining the best ways to address them. Additionally, we’ll strengthen our technical infrastructure to support our digital evolution.

Year 2: Evolution — We’ll begin the work of growing our digital capabilities by adopting new technologies and optimizing existing processes to better meet the needs of youth, volunteers, parents, and staff.

Year 3: Transformation — Year three of our transformation will conclude by fostering a user-centric culture for enhancements to our digital services. This will be driven by ongoing engagement with you to ensure we understand and respond to needs effectively. Keeping You Informed.

How to Get Involved

We’re proud that Scouts is co-led by young people, local volunteers, and a staff team. Your insights, feedback, and experiences are essential in shaping our digital transformation.

To help us start on our digital transformation journey, we will be:

Forming a Digital Advisory Team:

This team will consist of individuals with key skills in areas such as digital strategy, user experience, technology implementation, cybersecurity, and digital/data regulatory compliance. Their role will be to provide guidance on considerations and best practices rather than prescribing specific actions.

Engaging You in Shaping Our Transformation

Your input is vital to the success of our digital transformation. Soon, we’ll launch workshops, surveys, and other ways for you to share your insights and feedback. The Digital Advisory Team: Role in Shaping the Future

We know that our members face challenges with our current systems—whether it’s difficulty in finding information, slow registration processes, or navigating multiple platforms. As we embark on the journey of improving Scouts digital services, are forming a Digital Advisory Team that will consist of individuals with skills in areas such as:

  • Technical Expertise: Cybersecurity, software development, Strategic Planning (digital, technical, data), data analytics, Customer Relationship Management. 
  • Innovation and Trends: Emerging technologies and innovation management. 
  • Compliance and Legal: Data privacy, digital rights management. 
  • User-Centered Design: Stakeholder engagement and user-centered design. 

If you’re interested in lending your skills to support Scouts Canada’s Digital Advisory Team, please email digitaltransformation@scouts.ca with a brief description of your experience and the value you can bring to the team (CVs are welcome).

This team's role will be to provide guidance on considerations and best practices, rather than prescribing specific actions. Time commitments will vary by project and can be adjusted to fit the level of involvement you’re able to provide. Together, we can create a digital infrastructure that supports and enhances the Scouting experience for everyone.

Joining the Digital Advisory Team:

  • September 24 – October 25, 2024: Applications for the Digital Advisory Group will be accepted. 
  • November 4 – 15, 2024: Applications will be reviewed and candidates selected.
  • January 2025: The Digital Advisory Team will be announced.

FAQ's

Implementing a long-term digital transformation solution is crucial for our organization's future. The financial costs of such a transformation can be a significant barrier, which underscores the importance of getting the solution right from the start. Short-term fixes often lead to inefficiencies, increased expenses, and ongoing frustrations. Our goal is to thoroughly understand the why and how of our current systems and processes, allowing us to develop solutions that are both sustainable and adaptable to our evolving program offerings.

Engaging our stakeholders—volunteers, parents, staff, and youth—is essential in this journey. We want to ensure that our digital services effectively support our mission and provide the best possible experience for everyone involved. 

In the first year of our digital transformation, our primary focus will be on discovery. We need to thoroughly understand our current systems, processes, and the needs of our volunteers and parents. By engaging in comprehensive research and active listening, we aim to identify the strengths and weaknesses of our current operations.

Taking this careful and deliberate approach ensures that the solutions we implement are well-informed, targeted, and capable of delivering maximum impact and long-term success. This discovery phase is essential for gathering insights that will shape the direction of our transformation in the years ahead.

We will be providing quarterly updates in our newsletters on findings and next steps so stay tuned for more details in the months ahead. 

We understand the frustration over the slow pace of change.  We’ve known for years that systems such as MyScouts have not met our needs and that key systems have needed replacing.  We had a plan set to launch before the pandemic, but those efforts were unfortunately derailed. We are now poised to resume these efforts to realize our long-awaited digital transformation. 

MyScouts will remain in place until the transformation is complete. While we know it can be frustrating, rushing this process could lead to inefficient and costly mistakes.
