Transforming Registration & Volunteer Tools

Purpose: By incorporating feedback from parents, volunteers, and staff, we will define the requirements for a new system to replace MyScouts, making registration easier and reducing administrative burdens for volunteers.

What we'll accomplish in Year One: Release an RFP (Request for Proposal) and select the software solution and implementation partner by August 2025 to replace MyScouts.

We understand that joining Scouting can sometimes come with challenges. That’s why Scouts Canada has partnered with The Moment, a leading service design agency, to take a people-focused approach to improving the registration process. With their expertise, we’re working to make the experience easier and more welcoming for parents, guardians, youth, and volunteers.

  • We’ve hit the ground running! As a first step, our consultants, The Moment, took a deep dive into our registration processes, walking through it themselves to see what’s working and where things could be better.

Even at this early stage, we’ve uncovered findings that will help shape our next steps.

  • Improving Navigation and User Experience: There are plenty of ways we can make the registration process smoother and easier to navigate, such as:
    • Using consistent action words for buttons, so it’s clearer what to expect.
    • Adding progress bars and clear section titles to guide the registration process,
    • Providing helpful and easy-to-understand error and help text, so it’s easier to know what went wrong and how to fix it.
  • Highlighting Availability: Instead of creating potential "roadblocks," we can simplify the process by helping registrants easily find open spots in alternative groups when their first choice is full.
  • Streamlining the User Dashboard: Updates to the MyScouts dashboard will ensure that users only see relevant and helpful information, creating a more tailored and efficient experience.
  • Feedback on Membership Timing: The shift to a calendar-year membership model has received mixed reviews. This is one of the areas we’ll explore further in collaboration with volunteers, parents, guardians, and staff as we shape the next steps.
  • Technology as an Enabler: Currently, our processes are constrained by the limitations of MyScouts. While this isn’t a new learning, it reinforces the need to replace the MyScouts system. Technology should enable—not lead or constrain—operational processes, including registration.
  • Co-Creation Through a Human-Centered Design Process: We’re conducting interviews and surveys with parents, youth, and volunteers to gain deeper insights into current processes and identify opportunities for improvement. Additionally, we’re hosting volunteer workshops to co-create solutions and explore innovative strategies for capacity building. Click below to sign up for an upcoming session:
  • Moving Toward the Future with an RFP: In the next phase, we’ll release a Request for Proposal (RFP) to select a software solution and implementation partner. This will lay the foundation for replacing the MyScouts system and ensuring our digital tools align with the needs of our community.
